Scheduling
Automate Session creation with scheduled starts and view all Sessions on the calendar.
Scheduled starts let you automate Session creation on a recurring or one-off basis. Instead of manually starting a Session each time, you configure a schedule — and Eddy creates the Sessions for you.
The Calendar page gives you a workspace-wide view of all Sessions (manual, start-link, and scheduled) alongside future scheduled occurrences.
Creating a Scheduled Start
Open the Calendar page from the workspace sidebar, then click New Schedule.
You'll configure:
- Map — which Map the Session runs on
- Name — a label for this schedule (e.g., "Weekly standup" or "Monthly report")
- Frequency — how often Sessions are created
- Start date — when the first occurrence should fire
- End date (optional) — when the schedule should stop
- Timezone — occurrences are evaluated in the timezone you choose
Frequency options
| Frequency | Example |
|---|---|
| Once | A single Session on a specific date and time |
| Daily | Every day (or every N days) at a set time |
| Weekly | Every week (or every N weeks) on specific days |
| Monthly | Every month on a specific day of the month |
For weekly schedules, you can select which days of the week to run on — for example, every Monday and Wednesday at 9:00 AM.
Pre-assigning roles
When you create a scheduled start, you can assign workspace members to Map Roles ahead of time. Every Session created by the schedule will automatically cast those members into the specified roles — no manual assignment needed.
This is optional. If you leave roles unassigned, Sessions are created without role assignments, and an admin can assign them later.
Editing and Deleting Schedules
Click on a scheduled start in the Calendar page or the schedule list to open its detail page. From there you can:
- Edit the schedule — change the frequency, time, name, or role assignments
- Delete the schedule — archives the scheduled start so no future Sessions are created
Deleting a schedule does not affect Sessions that have already been created. Historical runs remain visible on the calendar.
The Calendar View
The Calendar page displays all Sessions for the workspace on a month grid. Events are color-coded:
| Color | Meaning |
|---|---|
| Blue | Future scheduled occurrences (projected from active schedules) |
| Grey / dashed | Sessions that were created by a scheduled start |
| Teal | Sessions started manually or via a start link |
Completed Sessions appear at reduced opacity so you can distinguish active from finished work at a glance.
You can filter the calendar by Map using the dropdown at the top of the page. When a single day has many events, overflow is collapsed into a "+N more" indicator — click to expand.
How Scheduled Starts Work
Eddy checks for due schedules every five minutes. When a schedule is due, a Session is automatically created with the configured role assignments, and the schedule advances to its next occurrence.
Things to know
- Up to five minutes of precision. Scheduled Sessions may be created up to five minutes after the configured time. For most recurring processes, this is imperceptible.
- One-off schedules archive automatically. After a single-occurrence schedule fires, it is archived — no cleanup needed.
- Recurring schedules stop at the end date. If you set an end date, the schedule archives itself after the last occurrence. If you don't set an end date, the schedule runs indefinitely.
- Schedules respect timezones. A "9:00 AM" schedule fires at 9:00 AM in the timezone you selected, regardless of where you or other participants are.
- Workspace builders can create and edit schedules. You need builder permissions or higher to manage scheduled starts.
